Speakers Guidelines 

These guidelines have been developed to ensure optimum access to the content of your paper by the audience and to facilitate an effective working relationship between the presenters and audio technicians. Each session will be allocated a Chairperson responsible for introducing the speaker, controlling the timing of the sessions and facilitating questions.

Prior to the Conference

Please ensure that you check the conference program carefully to confirm your presentation day and time.

Ensure overhead projections / power point slides contain minimal information and are in print large enough to read from all parts of the room. Body text should be at least 26 points, in a clear font with a background, which contrasts with the print. Avoid highly patterned backgrounds or overcrowding of charts or photographs.


Prior to your Presentation

Speakers Prep Room and Audio Visual Setup (loading your presentation)
We ask that you introduce yourself at the speaker's desk located outside the Speaker Prep Room (Education Room 1) a minimum of 1 hour prior to your presentation to arrange a time to meet with your audio visual technicians to load your presentation onto the networked system.

We prefer that you visit the speaker's prep-room as early as possible prior to your presentation, however we do ask that you give priority to speakers scheduled for the next presentation time slot. We also request that unless you are scheduled to present on the first morning (Monday 23rd AM) that you please delay loading your presentation during this time as the technicians will be busy preparing for the morning presentations.

10 minutes prior to your session commencing, we ask that you proceed to your allocated room to meet with your session Chairperson.

Audio Visual Setup
Once your presentation has been loaded on the networked system from the speaker prep room it will automatically be downloaded to you allocated room. When you arrive on stage to present your paper all you will be required to do is click on the icon containing your name and your presentation will appear (the technicians will explains this in detail when you arrive at the Speakers Prep Room). You will then have control of your presentation from the laptop located at the lectern. 

If you have specified on your speakers requirements form that you will be bringing your presentation on a laptop, you are still required to meet with the technician in the Speakers Prep Room to arrange setup of your presentation. 

During Your Presentation
Timing
Presentations are limited to 20 minutes (which allows for 3 minutes hand over and introduction, 12 minute presentation and 5 minutes for questions and answers). If your presentation exceeds the time limit you will be asked to stop because this will disrupt scheduling and encroach on the next speakers time slot (please be considerate). 

Pointers
At the start of your presentation, ask delegates if they have difficulty hearing you or reading any material projected on the screen. If there are people present who can't read the screen, ensure that you read all information projected and explain all visual demonstrations. 

Face the audience; speak clearly and at a normal speed. 

Audience questions
When answering questions from the audience it may be a good practice to repeat the question to ensure all delegates have heard clearly.

At the end of the Session
At the end of question time, hand over to the chair who will conclude the session and direct delegates to the next item on the program.

Session Chairperson Guidelines

The Chairperson's role on the day is to:

  • Collect speaker biographies and evaluation forms from the Conference Secretariat and be briefed on Audio Visual procedures.
  • Meet each speaker in the room that you will be chairing 10 minutes prior to your session commencing. 
  • Introduce yourself to each speaker and make him or her feel at ease with their presentation. Query their presentation requirements eg. amount of question time needed etc. This is to ensure that you are prepared and keep to time.
  • Introduce each speaker with a brief biography (collect at conference secretariat).
  • Keep a 'keen eye' on the agenda's timing and to keep the conference flowing and on schedule. A bell will be provided for the Chairperson and can be used if the speaker runs more than 3 mins over their scheduled time. NOTE: Each speaker has been allocated 20 minutes total, which includes 3 minutes hand over and introduction, 12 minute presentation and 5 minutes for questions and answers. Please note presentations are back to back, your assistance in keeping time is appreciated.
  • Thank each speaker at the conclusion of their speech.
  • Invite questions to the speaker/s at the conclusion of their presentations (when time allows) and encourage discussion between audience and speaker/s. When necessary the Chairperson may exercise the 'Chairperson's prerogative' to ask questions.
  • Request delegates to state their name and organisation, during question time.
  • 'Field' questions in an orderly manner and repeat questions if necessary.
  • Invite the next speaker to the lectern during question time.
  • Announce when and where the next sessions are to recommence before morning tea, lunch and afternoon tea and encourage delegates.
  • Include any 'housekeeping' details eg. Room checkout, Exhibition (these items will be presented to you, with preferred time of announcement, by the conference organisers on the day).
  • The audiovisual/technical manager will take care of speakers support, microphone requirements, room lighting etc.
